from the SC2002 Research Exhibits Committee
This message is meant to update you on the progress of Research Exhibit
booth selections process. Have faith, your turn in the queue should
arrive soon, if it has not already arrived. In the mean time, we would
like to point you to the SC2002 Research Exhibits Committee website,
exhibit_res.html, which
contains a wealth of information, including previously distributed information
on the booth selection process and rules as well a planned link labeled
"Booth Selection Order by Zone". In addition, please note
that the booth selection web application that you will be using requires
that your computer have an up-to-date version of the Shockwave plug-in
from Macromedia. On most systems this will either be installed or updated
automatically to the latest version, if it is not already present. It
may be necessary however to manually install the plugin, which can be
obtained from the Macromedia web site: http://www.macromedia.com/shockwave.
Important Notice to Research Exhibitors in the General Zone
Please note that it is not the desire of the Research Exhibit Committee
to make booth selections for exhibitors, however, be reminded of the
following rule that was highlighted in the 5/29/02 email to the primary
contacts indicating that:
"exhibitors will be allowed 48 hours (excluding weekends) to make
their selection. In the event that an Exhibitor fails to make a selection
during the allocated 48 hours, the Research Exhibits Committee will
make their space selection for them and the process will continue with
the next exhibitor on the priority list."
To emphasize our desire to communicate, this booth selections rule will
be implemented in the following way:
1. If a booth
selection is not made by 12 noon (in the exhibitors time zone) on
the day following transmission of the notification, an email reminder
will be distributed to the primary and secondary contact listed on
your registration form.
2. If contact is not established within 2 hours after step 1 is completed,
phone calls to the primary and secondary contact will be initiated
by members of the Research Exhibits Committee.
3. If contact is not established 4 hours prior to the expiration of
the 48 hour selections deadline, one final attempt will be made to
contact the primary and secondary contacts by phone and a final email
notification.
4. If the institutions booth selection is not made by the 48 hour
deadline, a member of the Research Exhibits Committee will log into
the booth selection system and select a booth for the exhibitor. The
system will then automatically return to the next exhibitor in the
priority selection sequence and the process will begin again.
